The Microsoft Excel spreadsheet program provides a number of functions to maintain uppercase or lowercase consistency for text. If there is a string of names that are being lowercase, you can use the “flash fill” feature to capitalize the name in Excel 2013. If you need to capitalize the entire text, you can use the UPPER function to capitalize every letter, or PROPER to capitalize the first letter.

Type a string of names or text into a column in the spreadsheet. Text can be as uppercase or lowercase as you like when using this function. It will convert all text in the current cell to uppercase.
Add a column to the right of the text column. Click on the letter at the top of the next column. Right click and select “Insert”.
Move the cursor to the cell to the right of the first data that you want to capitalize. You would put the function formula in uppercase in this cell.
Click the function button in the upper toolbar. It’s a blue squeegee, which looks like the letter “E”. The formula bar (fx) will be selected so you can type the function in.
Select a text function called “UPPER” or type “UPPER” right after the equal sign in your formula bar.

  • When the function button is pressed, the word “SUM” may appear automatically. If so, replace “SUM” with “UPPER” to change the function. [1] X Research Source

Place the cell in parentheses immediately after the word UPPER. If you are using the first column and row for your data, your function bar will be “=UPPER(A1)”.
Press the “Enter ” key (Go). Text in cell A1 will appear in cell B1 with all letters in uppercase.
Click on the small box located in the lower right corner of the box. Drag the box to the bottom of the column. As a result, the text string will be filled in so that the data in each cell of the first column is copied to the second column in uppercase.
Check to see if the entire text has been copied correctly to the second column. Select the column containing the correctly spelled text by clicking on the letter above the column. Right-click to bring up the “Edit” menu and select “Copy”. Then right-click again and from the “Edit” drop-down menu, select “Paste Values”.

  • This step allows you to replace formulas with values, so you can delete the first column of text without affecting the data in the second column.
Checks to see if identical text already appears in the column. Delete the first column by right-clicking the letter above the column. Select “Delete” from the drop-down list.

Use proper noun function

Enter text in the first column of the spreadsheet. This function will help you to capitalize the first letter of text in each cell.
Add a new column. Right-click the letter at the top of the first column. Select “Insert” from the drop-down menu.
Move the cursor to the cell to the right of the first text. Click the formula button. It’s the blue squeegee icon on the horizontal toolbar at the top.
Click on the formula bar. It’s the query bar next to the “fx” symbol right above your spreadsheet. Put the word “PROPER” after the equal sign.

  • If the word “SUM” automatically appears in the formula bar, replace it with the word “PROPER” to change the function.
Place the first cell of the text in parentheses after the word “PROPER ” . For example: “=PROPER(A1)”.
Press the “Enter ” key. The first letter of each word in the cell will be capitalized in the column to the right of the original text. The rest is still in lowercase. [2] X Trusted Source Microsoft Support Go to Source
Keep the box in the lower right corner of the cell. Scroll down to the last line of the original text column. Release the mouse and the entire text will be copied so that the first letter of each letter is capitalized.
Click the letter above the alternate column to select the entire column. Click the “Edit” menu and select “Copy”. Next, click on the drop-down menu on the Paste button and select “Paste Values”.

  • Cells with values formed from formulas will be replaced with text, so you can delete the first column.

Use this when your string is a list of proper names. To be usable, the initial list must be in lowercase. The quick fill function can read and rename so that the first letter of the first and last name is capitalized.
Complete your list of names by lowering all letters. Enter them in a single column. Leave the column blank to the right of the list of names.

  • If there are currently no empty columns to the right of your name list, right-click the letter above your name list column. Select “Insert” and a new blank column will appear to the right.
Click in the box to the right of the first name in the list. For example, if the first lowercase name was in cell A1, you would select cell B1.
Retype the name in cell A1 but capitalize the first and last name. For example, if the first box is “Nguyen An”, type “Nguyen An” in the box to the right. Press the “Enter” key.
Go to the “Data” menu and select “Flash Fill ” . Excel will learn the pattern in the first cell and make the same changes to the entire data series. You can also use the keyboard shortcut “Contrp” + “E” to activate the quick fill function. [3] X Research Sources
Delete the lowercase column. To avoid duplicates, click the letter above the original lowercase column. Right-click and select “delete” to remove that column, leaving the list capitalized.

  • Before deleting, make sure that Quick Fill is working on the entire list.

Another very fast way to switch from lowercase to uppercase in Excel is:
Open a blank Word page.
In Excel, select the cells that you want to convert from lowercase to uppercase.
Copy cells (Contrp “C”).
Paste it into the Word page (Contrp “V”).
Select all text in the Word document.
Click on the “Change Case” menu drop-down from the “Home” tab.
Choose the option you like – Capitalize at the beginning of sentences, lowercase, UPPERCASE, Capitalize Each Letter, CAPTCHA ONLY THE FIRST LETTERS.
Once changed, select the entire text and paste it back into Excel.
  • The whole process only takes a few seconds.
  • Advice

    • When using formulas, always type the function name with a capital letter. For example, UPPER will enable uppercase rows, while “Upper” will not.
